Those engaged in volunteering with us or renting our space will be responsible for upholding our relevant Fire Safety requirements. We have created the document below to help you understand your rights and responsibilities.

Managing Fire Safety
It is essential that everyone know what they have to do to safeguard themselves and others on the premises in case of a fire and to have an awareness of the importance of their actions. Therefore we have created the following document containing information on risk reduction, maintenance of fire safety measures and action to be taken in case of a fire.

The evacuation of all persons, including disabled persons, from the premises if necessary, is the responsibility of the board of trustees if present in the building. However, if none of them are present in the eventuality of a fire in the premises, the volunteer or the person renting our space is responsible for taking the necessary actions.

The purpose of this document is:

  • To ensure that the people on the premises know what to do if there is a fire; and
  • To ensure that appropriate action is taken and the premises is safely evacuated

Action to take if a fire is discovered or if the Fire alarm goes off:

  • Do not panic
  • Guide everyone to leave the building in a safe and calm manner. Direct them to the emergency exit.
  • Instruct the people to stay in the assembly point outside (a safe distance away from the building.
  • Call the Fire brigade on 999 for help outside the building.
  • If Alma Shearer or Janine Pohl, whom volunteer wit us and whom are both blind, or any disabled person is in the building, make sure they are helped and guided outside the building safely.
  • Absolutely under no circumstances allow anyone back into the building to pick up things like hand bags or other belongings; at least until the fire brigade tells you it is safe to do so.
  • How to raise the fire alarm

The person who identifies the fire first will break the glass point and all you need to do is to head for the meeting poing outside the building.  

  • Action to take upon hearing the emergency alarm

DO NOT PANIC. If you are in one of our rooms room and hear the fire alarm, safely follow the signs for EMERGENCY EXIT.

  • To switch off the fire alarm system

Please note that in case of a fire, only the fire brigade is allowed to switch off the alarm system when it is safe to do so.

  • Risk assessment

We have a risk assessment which is updated at least once a year. Below are the four major significant findings of the fire safety risk assessment which we all have to pay particular attention in order to avoid fire:

  1. Always make sure that the heater is unplugged from the socket before leaving the building
  2. Absolutely under no circumstances should a candle or an incense be left unattended in a room without a person present.
  3. Make sure the kettle is unplugged from the mains when not in use.
  4. Have an awareness that our two volunteers Alma Shearer and Janine Pohl, are blind. In case of a fire, we need to know where they are located in the building and that they will need help to evacuate the building safely.
  • Measures that have been put in place to reduce the risk from fire:
  1. In the agreement between volunteers and us and in the agreement between us and those renting our space, it is cleared emphasised the importance of not leaving unattended lighted candles and lighted incenses in the room.
  • The identity of people nominated with responsibilities for fire safety:

Co-founder Claudia Goncalves is responsible for:

  1. Updating risk assessment whenever there are new findings and information
  2.  Updating this document you are reading on paper and on website.         
  3. Making sure our premisses have signs showing the nearest exit and they are in place 
  4.  Making sure fire doors are not blocked.
  5. Point out fire safety issues and address them
  • In the eventuality of a fire and Claudia not being present in the building

In the event of a fire and Claudia not being present, the volunteer of the day or the person renting our space will be the person responsible for taking the necessary action to help people evacuate the building.

  • Special emergency egress plan for disabled person:

Special attention and help must be given to make sure disabled people present,  evacuates the building safely. Two of our volunteers are blind. The best way to help a blind person is to put their hands on your shoulder so that they follow you safely.

  • Fire fighting equipment

We make sure our premisses are equipped with fire fighting equipments to be used when appropriate to fight the fire. You are to use them to fight the fire only if you know how to and you are confident on the matter.

  • The importance of good housekeeping
  1. We must make sure every electrical heater is switched off from the mains when we leave the building
  2. We must make sure the kettle is switched off the mains when not in use
  3. We must make sure  no lighted candle or incense is left unattended


  • You are entitled to the provision of adequate fire safety measures on the premises to ensure, so far as is reasonably practicable, your safety from harm caused by fire
  • You are entitled to appropriate instruction about any risks identified on the premises, fire safety measures provided and what to do in the event of a fire.
  • You must take reasonable care to ensure the workplace is safe from harm caused by fire and do nothing that will place yourself or others at risk
  • You must inform our board of trustees of anything relating to the premises which could represent a serious and immediate fire safety danger; of anything which you reasonably consider represents a shortcoming in our fire safety protection arrangements; or in the event of fire.


  • We are entitled to the cooperation of volunteers, therapists, facilitators and any person renting the premises in respect of our fire safety responsibilities and for them to take reasonable care for their own safety and others whom their actions could affect.
  • We must care out (and review regularly) a fire safety risk assessment to identify the potential for fire to occur in the room we rent and cause harm to any person in, or in the immediate vicinity of the room.
  • We must ensure, so far as is reasonably practicable, the safety of persons coming to access our services or volunteer with us from harm caused by fire and take reasonable measures to ensure their safety and that of others in the room or in the immediate vicinity. These measures should be aimed at avoiding or reducing any risks identified.
  • We must provide clear, appropriate information and instructions to anyone working for our charity, in relation to any risks identified and fire safety measures provided
  • We must ensure that our record of fire safety risk assessment is kept on file, is  assessable and is reviewed at least every 6 months if we have five or more people working at the Foundation (whether they are based in the rooms we rent or not).
  • We must review our fire safety risk assessment before taking in anyone under the age of 18 to volunteer with us, taking into account their youth and inexperience, and in particular risks they may be exposed to in the workplace.
  • We must ensure that the rooms we rent are equipped to an appropriate level, with means of escape, means of detecting fire and giving warning in the event of a fire, means of fighting fires, and arrangements for action to be taken in the event of fire.
We must cooperate with anyone else who has fire safety responsibilities for the premises we rent a room from (including sharing information about the activities/measures undertaken, where appropriate) and take all reasonable steps to co-ordinate our fire safety measures).
